MFH-Shelter Operations Manager

Salary; Exempt Status

Reports To:  Shelter Program Manager

General Purpose: Responsible for overseeing staff, including supervision, budget, payroll, and training, as well as managing the daily operations of My Friend’s House shelter according to Minimum Standards set by DFPS and other funding sources, reporting directly to My Friend’s House Program Manager.

Essential Functions:

  • Have a working knowledge of Trauma Informed Care, Normalcy,  Compassion Fatigue & Self-Care
  • Hire Direct Care Staff working directly with the residents.
    • Conduct orientation (first 90-day), semi-annual and annual training in addition to reviews
    • Manage all staff schedules while continuing to maintaining child caregiver ratio set by DFPS minimum standards
    • Maintain all Direct Care Staff files per DFPS minimum standards and agency HR policy
  • Oversee the training for Direct Care Supervisors and Direct Care Staff-maintain per DFPS minimum standards
    • Implement new hire training
    • Implement continued education training
    • Maintain all Direct Care Staff trainings
    • Maintain any trainer certification needed to conduct necessary trainings for staff
  • Oversee all Direct Care Supervisors and Direct Care Staff clocked hours entered into Paylocity including tracking PTO, Holidays and Overtime
  • Observe and work with staff and Direct Care Supervisors to ensure appropriate supervision and care is provided to residents in accordance with DFPS mandated minimum standards and agency policy
    • Review all coachable action by Direct Care Supervisors
    • Conduct all write-up disciplinary actions as final approval for staff
    • Oversee all staffing, week and weekend updates including resident activities and staff working
  • Work Groups/Volunteers
    • Work with Director of Volunteers Resources to manage work groups and needs for work groups
    • Coordinate all household needs with volunteer maintenance workers
    • Ensure shopping lists and gift cards/credit cards are ready and available for Go-Getter volunteers
    • Encourage, by example and through training, positive interactions, respect and effective communication with all volunteers
    • Provide Director of Volunteer Resources with any correspondence related to volunteers serving at MFH
    • Coordinate all cooking volunteers and manage all food handlers license for cooking volunteers
  • Oversee the use of all client program transactions including petty cash, credit card, and gift cards while coding and inputting them into spreadsheet
    • Code check request forms and attach monthly receipts for all Credit/Debit/Gas cards
    • Supervise and manage all gift-card processing procedures
    • Code and manage MFH petty cash flow
    • Manage program budget based on program needs and cost
  • Maintain all household maintenance needs and vehicle needs per program annual budget
    • Track all household repairs on monthly tracking sheet
    • Oversee and track all vehicle maintenance and registrations
    • Communicate with Director of Operations & Administration to ensure all maintenance checks are completed
    • Ensure all household needs/meet DFPS minimum standards
    • Maintain all DFPS annual and semi-annual inspections and drills including but not limited to fire and weather drills, playground inspections, health inspection, and fire and gas inspection
  • Participate as a member of the interdisciplinary team to meet overall needs of all clients. This includes participating in weekly and bi-monthly staffings
  • Being a part of an On-Call rotation to respond to the immediate needs of staff and placement request calls from CPS and the community
  • Work with the City House leadership team to uphold the overall mission of City House Inc.

Qualifications/Basic Job Requirements:

  • Bachelor degree in Social Work (Master’s preferred) or related field with an understanding and experience working within a licensed facility   
  • Willingness to obtain Licensed Child Care Administrator (LCCA) within 90 days of hire date
  • Minimum one year experience in leadership role with management/supervisory experience in a residential child care setting
  • Minimum of two years of experience working with children in a residential setting or related experience
  • Knowledge of issues related to child development, trauma, youth homelessness, abuse and neglect with at-risk children
  • Preferred experience maintaining a multi-level budget
  • Effective communication skills, both oral and written; Effective organizational skills; Ability to establish and maintain effective working relationships with other employees and the public, as well as volunteers
  • Ability to perform duties with minimal supervision
  • Valid Texas driver's license and insurance
  • At least 21 years of age.
  • CPR, First Aid and Emergency Behavior Intervention certification must be current, or obtained within 30 days of hire and maintained as required

General Agency Requirements:

  • Immediately report any suspected abuse/neglect of a child
  • Maintain Licensing credentials as required and attend agency training as needed
  • Set high standard of professional, technical, personal conduct and competence for team
  • Emphasize safety to keep employee injury to a minimum
  • Minimum physical requirements
    • Ability to use up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently and/or up to 10 pounds of force continuously to move objects and/or people
    • Good depth perception
    • Ability to bend, stoop, twist, turn, reach, lift, carry, pull, climb and kneel with approximately 50% of time spent walking or standing
    • Ability to recognize differences in sound, such as voices/noises that are loud and playful instead of angry and combative; in addition to differentiating tone and volumes in conversation
  • Knowledge and use of Universal Precautions
